Furniture technical data sheet: certificates, fabric parameters, warranty, and dimensions. What to look out for before buying office furniture.

A technical data sheet is a document that most often ends up as an attachment to an offer and remains unread. Meanwhile, it is precisely where you can find the information allowing you to compare two seemingly identical pieces of furniture and understand why one costs twice as much. You just need to know what to look for.

Standards and certificates

A reference to a specific standard indicates that the furniture has undergone specific strength tests intended for office or contract applications. It is worth checking whether the certificate applies to the entire product or only to a selected element, and whether it refers to the configuration you are actually ordering. The name of the standard alone without context means very little.

Fabric parameters

For upholstered furniture, the most important aspects are abrasion resistance, color fastness to light, and the behavior of the fabric in contact with fire, if the facility requires it. Added to this is the cleaning method, which in practice determines what the furniture will look like after a year. Home fabric in an office wears out incomparably faster.

Warranty and availability of parts

It is worth checking not only the length of the warranty but also its scope: whether it covers mechanisms, upholstery, and moving parts, and whether it is not limited by the number of hours of use per day. Equally important is the availability of spare parts years later, as the ability to replace a footrest or mechanism can extend the life of the furniture by several years.

Dimensions and configuration

The dimensions in the data sheet should be compared with the actual space, taking into account the room needed to pull out a chair, open a drawer, or walk past. It is also worth checking the transport route: the width of doors, elevators, and stairwells. This is the most common cause of problems on the delivery day.

Summary

A technical data sheet allows you to compare furniture based on facts rather than photos. Check the standards and their scope, fabric parameters, warranty conditions, availability of parts, and dimensions in the context of the space and transport. Spending fifteen minutes reading saves costly corrections after delivery.
