The meeting room is no longer a place where all participants sit at one table. Today, some people connect remotely, which means that the sound quality in the room has ceased to be a matter of comfort and has become a prerequisite for an efficient meeting. A room that sounds bad reduces the intelligibility of the conversation on both sides of the screen.

Why rooms require a different approach than open spaces

In open spaces, we mainly fight against background noise. In a meeting room, the problem is the opposite: the room is closed, but usually finished with hard materials, such as glass, smooth walls, and a large table. Sound bounces off multiple times, making speech blurred, and the microphone records not only the voice but also all the reflections.

Reverberation and speech intelligibility

A key parameter is the time during which sound remains in a room after the source has stopped. The longer it is, the harder it is to distinguish subsequent syllables. In practice, this manifests itself in requests for repetition, especially from people connecting remotely. Shortening the reverberation is usually the cheapest and most effective action that can be taken in a room.

What to do with surfaces

Addressing the ceiling yields the greatest benefit, as it is the largest uninterrupted reflective surface. The next step is the walls facing each other, as sound bounces between them repeatedly. It is also worth keeping the floor in mind, and the fact that upholstered chairs and carpeting significantly reduce reverberation. A room with a glass wall usually requires more absorbing material on the remaining surfaces.

Equipment will not replace acoustics

A common mistake is investing in another microphone instead of improving the room. Modern systems can do a lot, but they will not eliminate excessive reverberation, because they record sound as it reaches the microphone. The order should be reversed: first, improve the room's acoustics, then select equipment according to its size and layout.

Summary

A meeting room sounds good when the reverberation is short and reflective surfaces have been limited. Start with the ceiling and opposite walls, consider upholstery and flooring, and only then choose the equipment. This order yields a significantly better effect than adding more devices to a bad-sounding room.
